Terms of Service
Last updated: 2026-11-05
These terms cover your use of PoliteChase, a tool for organizing receivables and following up on business payments.
Operator: andw · PoliteChase
Support and privacy requests: support@politechase.com
Your account and authority
Use accurate account information and protect your credentials. You must be authorized to act for the business and to use the client information and materials you add. You remain responsible for activity you authorize through your account.
What PoliteChase does
PoliteChase helps you organize receivables, prepare and schedule payment reminders, track related replies and record payments you have verified. It does not hold client money, process the underlying receivable payment, provide legal advice or guarantee that a client will pay.
Approval and responsibility for messages
Check the recipient, amount, currency, payment date, payment instructions, message and schedule before approval. Approving a sequence permits its scheduled messages to be sent in the background, including while your browser is closed. You can pause future reminders. A reply pauses the associated follow-up once it is detected; synchronization may be delayed or fail.
Gmail accepting a message does not prove delivery, inbox placement or that it was read. A client’s claim of payment does not prove funds arrived. Verify receipt through your usual bank or payment service before recording it.
Acceptable use
Use the service only for legitimate business payment follow-ups with contacts you are authorized to reach. Do not use it for spam, deceptive demands, impersonation, harassment, threats, unlawful debt collection, or attempts to bypass email-provider limits. Respect requests to stop and resolve disputed facts before continuing. We may restrict sending or suspend an account to address abuse or security risks.
AI and third-party services
AI recognition provides suggestions, not verified financial facts. Review all extracted values and supporting material. Gmail, hosting, email delivery, AI recognition and billing depend on third-party services and their availability and terms. Google authorization can expire or be revoked. Reconnecting a mailbox does not automatically restart previously approved plans.
Trial, subscriptions and cancellation
The current free trial lasts 14 days after email verification and includes up to 5 active follow-up plans and 15 business emails. The Personal plan is USD 19 per month, with up to 50 active plans and 300 business emails per billing period. The checkout page shows the applicable price and any taxes before you subscribe. A page labeled Test mode does not process a real payment.
A paid subscription renews monthly until canceled through Manage subscription. Cancellation normally takes effect at the end of the current paid period. If payment fails or access ends, sending is blocked and affected approvals are invalidated; paying again does not by itself reapprove old reminders. Contact support about billing errors or refund requests. Mandatory rights under applicable law are unaffected.
Your content and ending use
You retain rights to your content and permit the processing needed to provide the features you request. You may export workspace records and stop using the service at any time. Account deletion cancels the connected subscription and removes account-linked data as described in the Privacy Policy. It does not recall messages already sent or remove copies held by recipients.
Availability and changes
Features may change, be interrupted or become unavailable. Keep independent records of contracts, invoices and actual payments. We will describe material changes to these terms here and update the date. Nothing in these terms excludes rights or remedies that cannot lawfully be excluded.
